2. What Data We Collect
2.1 Data You Provide Directly
- Email address and billing information provided during subscription sign-up
- Questions and prompts you submit through the WPadmin.AI interface
- Feedback, support requests, and communications with our team
- Hosting credentials voluntarily shared for WPadmin.AI V2 setup (see Section 5)
2.2 Data Collected Automatically from Your WordPress Site
To provide accurate, site-specific responses, WPadmin.AI reads certain data from your WordPress installation, including:
- List of installed and active plugins and themes
- WordPress version and PHP version
- General site configuration settings (e.g. permalink structure, language)
- WordPress admin user role of the logged-in user
- Error logs and diagnostic information (V2 only, when performing technical tasks)
- File and directory structure relevant to the task being performed (V2 only)
- Database table structure, not content unless explicitly requested (V2 only)
2.3 Usage Data
- Number of questions asked per session and per billing period
- Feature interactions and plugin activity logs
- IP address, browser type, and operating system (standard web server logs)
3. How We Use Your Data
- To provide and improve the WPadmin.AI service
- To generate AI responses to your questions using OpenAI's technology (see Section 4)
- To manage your subscription, billing, and account
- To provide customer support and respond to your inquiries
- To detect abuse, enforce usage limits, and maintain security
- To send service-related communications (not marketing, unless you opt in)
- To comply with legal obligations
4. Third-Party AI Processing — OpenAI
WPadmin.AI uses OpenAI's API and Codex as the underlying AI engine to generate responses and perform technical tasks. When you submit a question or task, relevant context from your site (see Section 2.2) may be sent to OpenAI for processing.
By using WPadmin.AI, you acknowledge and agree that:
- Your prompts and relevant site context are transmitted to OpenAI's servers for processing
- OpenAI's data handling is governed by their own policies, available at openai.com/policies
- For technical tasks performed by WPadmin.AI V2, OpenAI Codex terms apply, available at developers.openai.com/codex/codex-for-oss-terms
- We do not control how OpenAI stores or processes data once transmitted
- You should not submit sensitive personal data, passwords, or confidential business information through the plugin interface
5. WPadmin.AI V2 — Server and Hosting Access
WPadmin.AI V2 requires temporary access to your web hosting environment to complete setup. When you invite integrations@wpadmin.ai to your hosting account:
- We access only what is necessary to install and configure the V2 environment
- Hosting credentials are used solely for setup purposes and are not stored beyond the setup period
- File system access during V2 tasks is limited to WordPress-related directories
- All actions taken by WPadmin.AI V2 on your server are logged and disclosed to you upon completion
- You retain full ownership of your site and all files at all times
You are solely responsible for ensuring you have the authority to grant such access and that doing so does not violate any agreements with your hosting provider.
6. Data Sharing and Disclosure
We do not sell your personal data. We may share data only in the following circumstances:
- OpenAI: For AI processing as described in Section 4
- Payment processors: For subscription billing (we do not store card details)
- Service providers: Hosting, analytics, and infrastructure vendors under confidentiality agreements
- Legal compliance: If required by law, court order, or government authority
- Business transfer: In the event of a merger, acquisition, or sale of assets
7. Data Retention
We retain your account and usage data for as long as your subscription is active and for a reasonable period thereafter for legal and business purposes. Prompt and response data transmitted to OpenAI is subject to OpenAI's own retention policies. You may request deletion of your account data by contacting us at integrations@wpadmin.ai.
8. Cookies and Tracking
The WPadmin.AI plugin itself does not set cookies in your visitors' browsers. Our website (wpadmin.ai) may use essential cookies for session management and analytics cookies (e.g. Google Tag Manager) to understand usage. You may disable cookies through your browser settings.
9. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data ("right to be forgotten")
- Object to or restrict processing of your data

10. Data Security

WPadmin.AI is not directed at individuals under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.
12. International Data Transfers
Your data may be processed in countries outside your own, including the United States, where OpenAI and other third-party providers operate. By using WPadmin.AI, you consent to such transfers. We take reasonable steps to ensure appropriate safeguards are in place.
